The service agreement
These terms govern your use of Pest Control Answering HQ, operated by TypeScience, trading as Pest Control Answering HQ. We provide an AI answering service for pest control businesses. The agreement covers the subscription, receptionist setup and operation, and our processing of caller information for your business.
You are responsible for the instructions and information your business supplies to the receptionist. Review these terms as part of deciding whether the service fits your intake, booking and callback process. For help understanding a service feature or managing your account, contact support@pestcontrolansweringhq.com.
What the receptionist does
Your receptionist answers as your business once you forward calls to it. You can forward all calls or choose no-answer, busy or after-hours forwarding. The service answers day and night under that forwarding arrangement, using the business information and instructions you provide during setup and later updates.
The receptionist asks intake questions, flags urgency, takes messages and politely ends spam and robocalls. It can book appointments into Google Calendar or collect details for your callback. It speaks English and Spanish, and callers can change language during a call. These functions support your business's handling of inquiries and scheduling.
Onboarding and forwarding
Setup uses a 10-15 question onboarding chat and your website to learn your services, exclusions, service area, hours, price policy and urgent routing instructions. Keep this information accurate. If you stop offering a treatment or change the area you cover, update the instructions used to answer callers.
We provide a local number in your area code and a forwarding guide for your carrier or phone system. A test call comes before going live. You are responsible for your greeting, business policies and information supplied to the AI, including appointment instructions and the person designated to receive urgent calls.
Trial and activation
The free trial lasts 14 days and is capped at 100 minutes. A payment card is required before call forwarding goes live. The trial converts only with a card on file, and we send a reminder email two days before conversion.
Request a free trial; we email your sign-in link when your trial is ready. Use the trial to check the receptionist against your business's intake and routing needs. A fictional scenario can help you test how it handles a wasp inquiry, an inspection request or a recurring plan question. The browser demo is available without signup before you begin the account setup process.
Monthly subscription and usage
The subscription is $249 per month and includes 500 AI minutes. Additional usage is charged at $0.20 per extra minute, with overage minutes billed monthly. Your dashboard includes usage information alongside calls, transcripts, recordings and settings so you can review how the service is being used.
Subscriptions renew monthly until cancelled online. This is a month to month service, and cancellation takes effect at the end of the paid month. The trial limits and the monthly included minutes describe different stages of the service; review your usage in the dashboard as you move from testing to forwarded business calls.
Cancellation and a lapsed plan
You can cancel online in one click. Cancellation takes effect at the end of your paid month, rather than changing the stated monthly subscription period. Contact support@pestcontrolansweringhq.com if you need help finding account controls or understanding the status shown for your subscription.
When your subscription lapses, incoming calls are routed to your backup number or voicemail. Keep your backup contact information current as part of your business's phone setup. Your backup arrangement also matters when reviewing how customers can reach you outside the receptionist's handling of an inquiry.
Messages, bookings and urgent calls
We send alerts by email and app push notification with a summary, urgency tag, transcript and recording. We also send a daily digest email. Review these records as part of your callback routine, especially when a caller's message requires your business to decide the next treatment or scheduling step.
Urgent handling follows the order you set. Your receptionist can warm transfer to your on-call person, who hears a short summary and presses 1 to accept, or page that person. You define what counts as urgent for your business and keep the destination and escalation instructions accurate.
Disclosure and call recording
The receptionist states at the start of each call that it is a virtual assistant and that the call is recorded. These notices cannot be turned off. Your greeting and other business instructions must work with those required disclosures when the assistant answers as your business.
Callers should receive accurate information about your services and policies from the instructions you supply. You remain responsible for that material, including the wording you ask the receptionist to use about treatment availability and prices. The disclosure does not remove your responsibility to review how your business is represented.
Optional chat and consent-based follow-up
Website chat is an add-on that uses the same business knowledge and rules as your receptionist. Lead follow-up calls are a separate add-on for people who complete your web form and give prior express written consent by ticking a box naming your business. You are responsible for the consent records for those follow-up calls.
The follow-up service calls within about a minute, between 8 a.m. and 8 p.m. in the recipient's time zone, with one attempt and one retry. Opt-outs are honored at once. These calls are limited to consent-based follow-up for your business; cold calls, list dialing and purchased leads are not offered.
Acceptable use
You must not use the service for illegal activity, cold calling, robocalling, impersonation or harassment. These restrictions apply to the way you use the receptionist and to the instructions you provide. We may suspend service for abuse, including use that violates these restrictions.
Healthcare use involving protected health information is not permitted. This service is offered for pest control businesses and their relevant intake, scheduling and message workflows. Do not configure it as a medical, dental or therapy answering service, or provide instructions asking it to handle protected health information.
Safety and emergency limits
The receptionist is not an emergency service or a replacement for 911. For a gas smell, a carbon monoxide alarm, sparks or burning smells, or flooding near electricity, its safety scripts tell the caller to get everyone out and call 911 or the utility from outside. For a fire, the receptionist says, "Get everyone out first, then call 911 from outside." For a medical emergency or anyone in danger, they tell the caller to hang up and call 911 right now. Then the receptionist alerts your business.
For pesticide exposure or chemical questions, the receptionist directs callers to the product label and Poison Control at 1-800-222-1222. It does not advise on chemical use or the safety of treatments. Your business instructions should route those questions appropriately and keep treatment advice outside the AI receptionist's role.
AI mistakes and your review duties
The AI can make mistakes. You must review summaries and keep a backup way to be reached, rather than treating a generated record as a substitute for your business's judgment. Use call records to check the details before deciding how to respond to a service request.
You can change settings by telling the AI in plain words. Review the effect of changes to your services, urgent routing or booking policy with a test call. Your responsibility for accurate instructions continues after setup, including when seasonal work or changes to your service area affect the answers callers need.
Caller data processing terms
For caller information, your business decides what is collected and why, and we process it on your behalf to deliver the answering service. These data processing terms are part of this agreement. Processing includes the call audio, recordings, transcripts, summaries and caller numbers used to answer, record and report conversations.
Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.
We use provider categories that support hosting and storage, telephone service, AI voice and text processing, payment processing, email delivery and analytics. Our AI model provider, OpenAI, does not use our API data for model training by default. We do not sell personal information or use callers' data for our own marketing.
Retention and privacy requests
Recordings are kept for the 30 or 90 day period your business chooses, then deleted. Transcripts and summaries are kept while your account is open and deleted within 30 days after closure or on request. Choose a recording period that fits how your business reviews calls and responds to customers.
Customers and callers can request access, correction, deletion or an opt-out by emailing privacy@pestcontrolansweringhq.com. Callers can also ask your business. The details of our data handling explain the information collected from accounts, website activity, demos and customer calls, and the respective roles of your business and our service.
Service basis and liability limit
The service is provided as is. Our liability under these terms is capped at the fees paid in the prior 12 months. Review that limitation alongside your responsibilities to check AI output, maintain accurate instructions and keep a backup way for your business to be reached.
The receptionist supports the call handling process you set for your company. Your business remains responsible for its treatment services, policies and decisions made after a call. Urgency tags and summaries support your review; they do not turn the receptionist into an emergency service or a source of chemical safety advice.
Governing law, changes and contact
These terms are governed by the law of California. We notify customers of changes to the terms by email. The date at the top of this page identifies this version, so review the current terms when considering the service and when a change notice arrives.
