Your receptionist opens each call by saying it is a virtual assistant and that the call is recorded. These notices stay in the greeting when you change your business instructions.
Callers hear that a virtual assistant is answering as your business.
The greeting tells callers that their conversation is being recorded.
You cannot switch off the assistant disclosure or recording notice.
The opening identifies the assistant and recording before the receptionist starts collecting the caller's details. A customer asking about a quarterly renewal hears the same disclosures as someone reporting a wasp nest near an entrance.
You supply your business policies during onboarding, but those instructions do not remove the notices. Use a test call to hear how the greeting introduces your business and leads into intake. The browser call demo also lets you hear the disclosure in a fictional pest control scenario.
We use hosting and storage providers for service data, and telephone and AI providers help process calls. Your dashboard holds call records, with recording retention set to your chosen period.
Hosting and storage providers support the records used by your receptionist.
You can review call recordings, transcripts and summaries in your dashboard.
Choose recordings kept for 30 or 90 days before deletion.
Call data includes caller numbers, audio, recordings, transcripts and summaries. Telephone carriers and AI model providers support the conversation; hosting and storage providers support the service records. Email delivery providers support call alerts and the daily digest sent to you.
Recordings are deleted after the 30 or 90 days your business selects. Transcripts and summaries remain while your account is open, with deletion within 30 days after closure or on request. Our privacy policy explains the provider categories and how callers can request access or deletion.
AI model providers process voice and text for your receptionist. Our AI model provider, OpenAI, does not use our API data to train its models by default; we do not sell personal information.
AI model providers help process conversations and produce usable call records.
OpenAI does not use our API data for model training by default.
We process caller information for your business, without using it for our marketing.
The receptionist needs voice and text processing to ask intake questions, capture a complete message and summarize the conversation. That processing is part of providing the answering service to your business. OpenAI's stated training default applies to our API data; it is not a claim that calls bypass AI providers.
We do not use callers' information to market our product to them. Your business decides what the receptionist should collect and why, using the services, area, scheduling instructions and other policies you supply. Review those instructions when your treatment offerings or intake needs change.
You choose a recording retention period and can review calls in the dashboard. Businesses and callers can email privacy@pestcontrolansweringhq.com to request access, correction or deletion of personal information.
Select the 30 or 90 day period suited to your business.
Open your dashboard to read transcripts and summaries or listen to recordings.
Email us about access, corrections, deletion or opting out of data use.
Choose recording retention with your callback and review routine in mind. A short review cycle and a longer review cycle may need different settings, but both available periods end with recording deletion. Transcripts and summaries have their separate account retention schedule.
If a caller wants information about a treatment inquiry removed or corrected, they can contact your business or email us. Describe the request at privacy@pestcontrolansweringhq.com so we can address the relevant records. You can also change receptionist settings by telling the AI in plain words, such as updating the questions it asks about recurring service.
We do not offer healthcare use or claim HIPAA readiness, security certifications or audits. Test the receptionist's stated call handling, disclosure and retention features against your pest control business instructions.
Protected health information is not permitted in this pest control answering service.
We claim no security certifications or audits for the product.
The AI can make mistakes, so review summaries and keep a backup contact.
We make no SOC 2, ISO or HIPAA compliance claim. The service is built for pest control intake, scheduling and message handling, with the controls described on this page. It is not offered for medical, dental or therapy practices.
A pesticide safety question belongs with the product label and Poison Control; your receptionist does not advise on chemical use or treatment safety. Before forwarding calls, test your own intake and urgent routing instructions. Read the service terms for your responsibilities, including reviewing AI output and keeping another way to be reached.
